The volunteering department of the AOZ (Asyl-Organisation Zürich) offers comprehensive programs to support refugees in the city of Zurich through volunteering. The AOZ coordinates and supports various initiatives and programs to ensure efficient and consistent support for both volunteers and refugees. These include the tandem program and group offers that enable initial contacts and regular exchanges with people living here.

From Excel to more efficiency
We faced several challenges at the start of the project. The previous data processing with Excel sheets was inefficient and had reached its limits. In addition, we were unable to adopt the solution already implemented for the Future Kids mentoring program directly for the AOZ Volunteering department. This meant additional development work. Another obstacle was the limited budget, which required a cost-effective solution. In addition, the platform had to be continuously adapted to meet growing requirements such as the presentation of statistics and the export of key performance indicators. Despite these challenges, the platform was successfully developed and adapted to the specific needs of the AOZ (see above).

A platform that makes the difference
The online platform was specially developed according to the requirements of the AOZ and offers a clear presentation, enables quick orientation and considerably simplifies the administration and coordination of all programs. The platform was developed with a Ruby on Rails app in the backend and uses server-side rendering. The underlying framework or Design system was provided by the City of Zurich. This means that the platform does not differ significantly from other applications developed for the City of Zurich, as the use of its web components was mandatory for development. The programming of the expenses payment and the creation of the journals proved to be particularly complex.
Indispensable: Internal collaboration optimized
Since working with the platform, the efficiency of work processes has improved significantly. Internal collaboration and handovers have become easier and teamwork has been significantly strengthened overall. In the future, the focus is likely to be on further developing the platform with Panter, with a particular focus on improving user guidance and creating more interactive functions to potentially involve volunteers even more.
